Reports
Eighteen questions, answered from your own records.
Not a reporting module you have to learn. Each report is named as the question it answers, and every figure on it opens the documents it was worked out from.
The list
Everything you can ask, in plain words.
Pick a period or your financial year, a warehouse, and a currency. The answer is on the screen, and it downloads as a CSV.
Selling
What went out, what it made, and who still has to pay for it.
- Sales
- What sold, to whom, and when
- Profit
- Which items and customers make the most money
- Returns
- What came back, and why
- Payments received
- Who paid, how, and when
- Receivables ageing
- Who owes you, and for how long
Buying
What you bought, what it cost to get here, and who delivers properly.
- Purchases
- What you bought from whom, at landed cost
- Landed cost
- What each shipment cost on top of the goods
- Supplier performance
- Which suppliers deliver in full and on time
- Payments made
- What you paid your suppliers
- Payables ageing
- What you owe your suppliers, and for how long
Stock
What you hold, what it is worth, and what is sitting still.
- Stock on hand
- What each warehouse holds now
- Stock value
- What your stock was worth on any day
- Stock movements
- Everything that went in and out
- Low stock
- What is about to run out
- Slow movers
- What hasn't sold for a while
- Count variances
- What stock counts found missing or extra
For your accountant
The two that get emailed on, rather than read on screen.
- Period summary
- One page for your accountant
- Exchange gain and loss
- What exchange rates gained or cost you
What a report has to be
A figure is only worth having if you can see where it came from.
- Every figure opens the documents behind it
- A total is a link. Click it and the invoices, receipts or bills that make it up are on the screen, each one openable in turn.
- Nothing is averaged across currencies
- Figures are shown per currency, with the rate that was actually used. No report quietly converts at today's rate to make a tidier total.
- A later bill corrects the figure it should have been in
- When a freight bill arrives three weeks after the goods sold, the profit on that sale is corrected — and the report says which figures moved and why.
- It downloads, and it prints
- Every report is a CSV. The ones that get filed or sent on — both ageings, the landed cost of a shipment, the period summary, a profit summary — are a PDF as well.
- Only the people you choose can see it
- Reports are a permission, and costs and margins are a second one. A salesperson can be given the sales figures without the cost of the goods.

Period summary
One page for your accountant
Pick a period, a warehouse and a currency. Every figure opens the documents it was worked out from.
Profit
Margin at what the goods landed at, not what the invoice said
Gross profit by item, by customer or by month, costed at the figure the goods reached your warehouse at — freight, duty and clearing included.
- Grouped by item, by customer or by month, over any period or your financial year
- Corrected when a late landed cost changes what a past sale really made
- A one-page profit summary as a PDF, for the people who want the answer and not the workings
- Hidden from staff who are not allowed to see costs
Profit
Where the money is made
1 Jul – 31 Oct · AUD
| Item | Sold | Revenue | Cost | Margin |
|---|---|---|---|---|
| Floor tile 600×600 | 1,240 | 24,180 | 16,120 | 33.3% |
| LED panel 40 W | 310 | 13,640 | 9,145 | 33.0% |
| Steel bracket, heavy | 2,050 | 11,275 | 8,240 | 26.9% |
Costed at what the goods landed at, so the margin holds up when a late freight bill arrives.
At the end of a period
One page to hand over.
When the quarter or the year closes, your accountant asks for the same few things. They are already a page, a CSV and a PDF.
Period summary
Sales, purchases, payments both ways, stock movement and what was outstanding at the end — on screen, as a CSV and as a PDF.
Both ageings, as at any date
What was owed to you and by you on the last day of the period, aged, with a PDF to attach to the file.
Exchange gain and loss
What the movement between invoice and payment gained or cost you, on both ledgers, ready to be journalled.
A BAS worksheet
G1, 1A and 1B for the trading you have recorded here, each figure marked complete or partial, with what is missing named on its face.
FlowBooks works tax figures out from what you have recorded in it, and marks each one as complete or partial. It is not a tax adviser: have your accountant or registered tax agent check the figures before you lodge anything.
Open a report with real numbers in it.
The demo store has a quarter of trading behind it, so every report on this page has something to show.
